Job summary

The Executive Assistant to the Owner manages the day-to-day operations of the office, acting as an extension of the owner, providing administrative support, acting as a liaison between the company and its clients and vendors, responding to client needs and handling all correspondence for the office.

Summary of essential job functions

Answer telephones/receive visitors/manage office/manage trouble ticket database/schedule meetings/schedule tech visits/correspond with clients/perform client follow-up/email correspondence/written correspondence/manage owner’s calendar/schedule meetings/setup conference calls/receive shipments/process mail/order hardware, software and office supplies/change backup tapes/correspond with vendors/review contract status/maintain order logs/maintain petty cash/update project sheets/arrange travel/setup and maintain client files/take meeting minutes and produce summaries.

Minimum requirements

High School Diploma (some college is a plus); one year serving in an administrative/support role; drug-free; able to obtain a security clearance a plus.

Abilities required

Must be detail-oriented, very well organized, able to multitask, able to work independently with minimal supervision, possess an excellent professional telephone presence, excellent communications skills (oral and in writing), strong secretarial skills, proofreading skills, type 30+ wpm, knowledge of Windows-based computing, experience with Microsoft Office suite (Word, Excel, PowerPoint, Outlook), familiar with web-surfing/searching, note-taking, taking dictation,

Software Developer Wanted For Project

Seeking a developer/dba to create an application for a homeowners association to replace current paper-based system. Capitol Data Solutions is subcontracting this job and will act as the laison between the developer and the client.

This HOA manages 360+ townhomes in the community.

The current workflow is as follows:

A set of forms is kept for each home with the current resident's contact information and the owner's information if the unit is a rental.There are some inspection forms that HOA people use to walk the neighborhood and examine each townhome and note any issues/violations (paint, roof, general repair, architectural changes, etc.)There are simple checkboxes for most inspection items and an area for notes to be recorded.There are standard set of "canned letters" that are sent out if/when a violation(s) are noted. The only specific information is the list of violations and the recipient(s) name and address.There are instances when a custom "ad-hoc" letter might need to be generated and sent to a homeowner/tenant.Once a homeowner/tenant receives a violation letter, they have x number of days to return a form indicating that the violation has been corrected and to request a re-inspection of the property.The HOA people will revisit and re-inspect the property to determine if the violation has indeed been addressed.If all is well, another canned letter indicating so is sent.Privileges such as swimming pool access and tennis court access are dependent upon whether a property is free of violations.Each summer, when the pool and tennis courts open, HOA people comb through the violations forms and letters to note which homes passed inspection.Those homeowners/tenants are issued their pool passes or the right to access the tennis court key.A list of eligible homeowners/tenants is generated and kept poolside for the lifeguard to reference when people come to swim.These processes are all performed manually today using file cabinets, forms, folders and rolodexes.Records are stored for years as they may become evidence in any legal proceedings, such as a dispute with a tenant over a violation.The ability to differentiate between a tenant and the homeowner is imperative as various communications must go to one, the other or both.As homes are sold or rented, new files are created for the new residents and the current occupant is noted so letters go to the correct person(s).There needs to be a user access levels with encrypted passwords due to the sensitive nature of the data being handled.There need to be multiple levels of access depending on one's role at the HOA, so that some could have review-only access and be able to run reports, while others could edit records.There needs to be an audit trail of who made what changes and when while working with the application.There are several basic "canned" queries and reports the system should be able to generate.There are several "canned" form letters the system should be able to generate.One should be able to perform simple Boolean searches that can match criteria and select a homeowner(s)/tenant(s) that match the criteria and create a report or send a letter to the batch.Letters should be addressed to the individuals, pulling the name/address information from the database.One should be able to create a freeform "ad hoc" letter and send it to a single recipient or a batch of recipients.

This project will not end with delivery of the software. There is also an opportunity to sign a long-term support contract with the client for maintaining the software.Both web-based solutions client/server solutions will be considered. NO CALLS PLEASE.

Part-Time Systems Administrator/User Support

Capitol Data Solutions seeks a part-time systems administrator/user support person for a small office in Durham, North Carolina. The contract is for four hours of systems/user support per month and can sometimes entail six or seven hours per month. You will be managing a simple, peer-to-peer lan with two workstations, a server (all running Windows XP), printers and a firewall. You will be supporting an office with two full time employees. Responsibilities include: ensuring backups are running (disk-to-disk), maintaining system patches, maintaining the firewall, routine maintenance and general helpdesk support. You must have a cellular telephone and be reachable during business hours by the client. You will be onsite one to three times per month. This is not an after hours or weekend position, so please do not apply if your current employment situation will not allow you to visit this client during business hours.
